Sponsor & Exhibitor Terms and Conditions

1. Defined Terms

“Event” or “Show” refers to FlyFest 2026, scheduled for September 24–26, 2026, at the Redding Civic Auditorium, Redding, California. “Organizer” refers to Fly Fishers International (FFI), the owner and producer of FlyFest. “Sponsor” and/or “Exhibitor” refers to the individual or organization that has submitted a sponsorship or exhibitor commitment and has been accepted by the Organizer.

2. Event Dates, Hours, and Access

Event hours, exhibitor move-in, setup, teardown, and breakdown times will be provided in advance of the Event. Sponsors and Exhibitors agree to comply with all published schedules.
Early teardown or partial dismantling during event hours is not permitted without written approval from the Organizer.

3. Application and Acceptance

Submission of a sponsorship or exhibitor commitment does not guarantee acceptance. The Organizer reserves the right to accept, reject, modify, or reassign space, sponsorship level, or location at its sole discretion without liability.

4. Space Assignment and Use

Exhibit and activation spaces are assigned on a first-come, first-served basis once payment is received. The Organizer will make reasonable efforts to accommodate requests but reserves the right to adjust assignments as necessary for event operations.
Subleasing, sharing, or transferring space without written approval is prohibited.

5. Payment Terms

Full payment is due upon confirmation unless otherwise agreed in writing. Failure to remit payment by the stated deadline may result in forfeiture of space or sponsorship without refund.

6. Cancellation by Sponsor or Exhibitor

All cancellations must be submitted in writing. Refund eligibility, if any, will be outlined in the sponsorship or exhibitor confirmation. Unless otherwise stated, payments are non-refundable once event production commitments have been made.

7. Event Cancellation or Force Majeure

The Organizer shall not be liable for delay, cancellation, or modification of the Event due to circumstances beyond its reasonable control, including but not limited to acts of God, public health emergencies, government restrictions, labor disputes, or venue unavailability.

If the Event is cancelled, refunds will be issued less any non-recoverable costs already incurred by the Organizer.

8. Character of Participation

The Organizer reserves the right to prohibit, remove, or modify any exhibit, activation, signage, or conduct deemed inappropriate, unsafe, or inconsistent with the mission and values of Fly Fishers International.

9. Risk, Liability, and Indemnification

Sponsors and Exhibitors participate at their own risk and agree to indemnify and hold harmless the Organizer, venue, and their respective officers, employees, and agents from any claims, damages, or expenses arising from participation in the Event.

10. Insurance

Sponsors and Exhibitors are responsible for maintaining adequate insurance coverage for their participation and property. Proof of insurance may be requested.

11. Labor and Venue Rules

All Sponsors and Exhibitors agree to comply with applicable labor agreements, venue regulations, and local, state, and federal laws.

12. Marketing and Brand Use

Sponsors and Exhibitors grant the Organizer the right to use submitted logos, names, and approved brand assets for Event-related marketing, promotion, and reporting. Assets must be provided by the deadline communicated by the Organizer.

13. Relationship of the Parties

Nothing herein shall be deemed to create a partnership, joint venture, or agency relationship between the Organizer and any Sponsor or Exhibitor.

14. Governing Law

This agreement shall be governed and interpreted under the laws of the State of New York.

15. Final Authority

The Organizer retains final authority on interpretation, enforcement, and amendment of these Terms and Conditions to ensure the proper conduct of the Event.
